Job Purpose

The Administrator (Post Award Finance) is part of the College's core administrative team and provides a high-quality, co-ordinated level of service to the College for risk analysis and management of externally funded research grants.

The role is a key member of the College specialist post-award administration team and provides an essential support service to the academic community and the Institute Managers in providing post award financial management and administration for research accounts considered to be high-risk.

This role will ensure that high-risk accounts are identified, prioritised and those risks are mitigated. Working to the Assistant Finance Business Partner and in collaboration with Institute Managers, Principal Investigators and colleagues in the central research finance team, the post holder will manage these high-risk research accounts effectively to both prevent loss of income and alleviate Institute and College financial pressures created by research overspends.

The post holder will be the key point of contact for academics and Institute Managers within the College, supporting the de-risking of research accounts and providing advice on account monitoring and planning across a portfolio of research accounts.

The post holder will be required to maintain appropriate records in order to be able to report financial risks to Institute Directors and Managers across the College. The post holder will work closely with colleagues in other Institutes being based part time within the College Post Award hub.

Main Duties and Responsibilities

• Financial oversight of research accounts across a wide range of funders including complex charity, overseas, commercial and government funded initiatives.

• Reviewing the financial position of grants and contracts across the Institute at regular intervals, ensuring any potential financial problems are identified and resolved in liaison with the Principal Investigator (PI) and the Institute Manager.

• Maintaining a risk analysis of research projects for each Institute in order to flag problems to the PAPA Group, Institute Director and Manager.

• Liaising with College academics to plan research accounts and provide advice on account management in accordance with funders terms and conditions.

• Identifying and working with PI's to provide solutions in order to resolve under/overspends.

• Working with Research Finance to manage high-risk accounts. Monitoring and updating information regarding projects that are still live but where end dates have passed. This will involve liaison with both PI's and the Institute Managers to make decisions in order to resolve outstanding issues.

• Supporting training provision for academics, College administration and other staff who support research account management.

• Dealing with internal and external correspondence, answering standard and some complex queries independently and proposing solutions, some of which would need further consideration by the Assistant Finance Business Partner/Institute Manager.

• Responding to ad hoc requests from the Assistant Finance Business Partner.

Person Specification

• Experience of managing budgets and analysing data.

• Experience within financial environment.

• Experience with Microsoft IT packages in particular a good knowledge of Excel.

• Proactively seeking problem-solving solutions to improve best practice in conjunction with the PAPA Group, Assistant Finance Business Partner, Institute Managers and Central Research Finance.

• Use initiative to problem-solve and effectively find solutions to queries ensuring compliance with financial policies and procedures.

• Excellent communication skills to articulate solutions to problems to a wide range of staff.

• Ability to meet strict deadlines and prioritise effectively.
