Job Purpose

The Education Services and Support team within the College of Medical and Dental Sciences consists of over 100 professional administrative staff who work together to support and enable the delivery of education through our academic colleagues across Undergraduate and Postgraduate Programmes supported by colleagues from Institutes.

The post holder will form part of the professional services team who support the administration of undergraduate programmes across the College of the Medical and Dental Sciences. Duties include support for the curriculum, support for student assessment, management and allocation of student placements and monitoring and recording student attendance.

Main duties

Customer Service

• The post holder will be required to act as a key communication point for the programme by attending to and dealing with a range of enquiries originating from students and staff and redirecting or resolving as appropriate. All enquiries to be dealt with in a professional and timely manner and logged as appropriate.

Programme support

• Response for entering, updating and amending assessment marks and progress decisions for students following Examination Boards.

• Responsible for rigorous checking of all data prior to release of information to students, tutors and external bodies within Programme/College and University deadlines.

• Ensure that all student assessments are processed in accordance with defined processes and policies for example feedback compliance, receipting student assessments.

• Ensure that the examinations processes involving preparing/checking exam papers, collecting and distributing scripts to markers, preparing for the external examiner visit and quality checking of examination results prior to meetings of the examination board are followed.

• Responsible for creating, updating and distributing programme materials such as handbooks and induction materials including publication of material to the Virtual Learning Environment (iVLE).

• Assisting with the production of the annual teaching timetable and the timely distribution of the finalised information to staff and students along with prompt resolution of any queries arising during designated term time.

Student Records

• Responsible for updating student module and programme registrations and recording student attendance in line with College and University processes and procedures

• Responsible for maintaining accurate attendance monitoring records for international students in line with UKVI requirements using College and University corporate systems in accordance with College and University policies and procedures.

• Responsible for the creation and maintenance of electronic files for students and alumni.

Student placement

• Responsible for organisation and allocation of student placements e.g. Hospital/GP/Student Selected activities

• Responsible for recording information relating to student performance and attendance whilst on placement

• Resolve queries from students and placement providers in line with service level agreements

Committees and other meetings:

• Co-ordinate, arrange, attend and take minutes / notes at committees, away days and other meetings as required

• Ensure actions are followed up in a timely fashion

Record Keeping

• To provide support in making sure documentation is recorded appropriately.

General Administrative support to the Programme

• Responsible for ordering, invoicing and monitoring financial payments to support the Programme Manager

• Deal with day to day enquires as appropriate

Other duties as requested by the Programme Lead or Programme Manager

Person Specification

• Educated to 'A' Level standard with at least GCSE Grade C in Maths and English or equivalent

• Significant experience of working in an administrative role in a fast paced and complex environment, preferably in an Education setting.

• Ability to work with a diverse range of stakeholders courteously, diplomatically and confidentially

• Demonstrable experience of using and maintaining complex working systems e.g. a finance record/monitoring system.

• Ability to work proactively, independently and as part of a team

• Wide ranging IT skills to an advanced level, to include manipulation of data and application of formulae using excel and development of presentations using PowerPoint

• Organised and able to prioritise own workload according to changing business needs and daily work constraints

• Able to work under pressure and deal with confidential and sensitive data in accordance with appropriate legislation

• Excellent verbal and written communication with appropriate attention to detail

• Ability to use judgement and make appropriate decisions within the constraints of the role

• Experience of supporting committees in a secretarial capacity
