The Department of Community Health Sciences (CHS) is the leading unit of its type in Pakistan, recognized regionally and internationally for the relevance, quality and extent of its work in support of public health and the development of primary health care systems. It comprises of five major operational units: Epidemiology & biostatistics, Health policy & management, Population & reproductive health, Environmental health, and Non-communicable diseases & mental health.

Responsibilities

You will be responsible for:
  • providing logistical support to CHS faculty and staff, and assisting the Senior Manager in coordinating other administrative activities of the department
  • providing administrative support for organising workshops, seminars, lectures and symposiums within the department, and at other locations off-campus
  • auditing leave reports and keeping record of attendance, for both faculty and staff
  • managing the team of drivers/ancillary staff and appraising their performance on an annual and bi-annual basis
  • maintaining daily duty roster of drivers and preparing overtime reports for staff and subordinates
  • negotiating contracts and agreements of vehicles for departmental use
  • supporting administrative functions at CHS field sites, coordinating and organising transport for Primary Health Centers
  • coordinating maintenance activities which include repair and maintenance of office, furniture, fixtures and equipment
  • preparing petty cash vouchers, statements, payment requests and handling departmental cash with accuracy
  • maintaining a record of Requests of Payment and following up with Finance for their timely processing
  • collecting and distributing cheques for different projects and third party payments while maintaining proper record thereof
  • arranging required cash advances for projects and following up for their settlement
  • facilitating any cash distribution activity at field sites.


Requirements

You should have:
  • Bachelor's degree, however Masters will be preferred
  • two to three years' of related experience
  • knowledge of administrative procedures preferably within a health service organisation
  • good communication and interpersonal skills
  • proficiency in using Microsoft Office and knowledge of related Office Packages
  • good command over written and spoken English
  • the ability to meet strict deadlines and work under pressure
  • the ability to prioritise tasks efficiently, be tactful and courteous
  • good customer-orientation.
