JOB PURPOSE

This position is responsible for providing facilities and general administrative support to the Sana Cambridge locations.

DUTIES AND RESPONSIBILITIES
  • Provide general administrative support to the two offices in our Cambridge site. For now, it is 300TS & Forsyth. Beginning 2021, this will be 300TS & 100TS.
  • Represent the face of Sana for visitors and guests by creating a positive first impression
  • Track all visitors, including vendors, visiting employees and guests by making sure they are signing in properly. Manage visitor passes and ensure they are always returned.
  • Assist with occasional lunch set-ups, happy hours, and execution of any Culture Club events
  • Maintain all common spaces presentable at all times (kitchen, conference rooms, office area & reception area)
  • Manage vendors for office equipment and breakroom and handle stocking while adhering to site budget
  • Manage conference room scheduling
  • Manage incoming and outgoing courier and other packages or mail as required
  • Provide support to the Lab Operations team by assisting with lab shipping and receiving, maintaining common laboratory inventory (ordering, stocking), distributing packages to recipients (some lifting required), managing shipping of packages to external sites, and assist with general lab cleaning, maintenance & upkeep as needed
  • Manage new hire first day experience by setting up their work area, giving an office tour, coordinating lunch and providing ongoing onboarding support
  • Demonstrate confidence, professionalism, responsiveness and exceptional customer service skills. Perform other office and facility management assignments as described by team and manager

QUALIFICATIONS
  • At least 2 years of related, demonstrated reception experience
  • Experience with building a high functioning team across key operational roles, such as office management, lab management, procurement, executive assistants, etc.
  • Sound troubleshooting skills and the capacity to resolve problems
  • Can effectively determine appropriate use of internal vs. external resources
  • Must have excellent communication and multitasking skills, a positive attitude and a strong work ethic
  • Is computer proficient with experience using Microsoft Office Suite
  • Ability to work with minimal supervision
