The Javett Art Centre at the University of Pretoria (Javett-UP) is a new art centre, which was opened on 24 September 2019, and which will serve as a home for the art of Africa in an environment characterized by creativity, diversity, research, study and exploration. It will set new benchmarks in art curation, conservation and education. The Javett-UP is a partnership between the University of Pretoria and the Javett Foundation. It is an art centre that is as collegiate as it is philanthropic.

The goal is to develop the Javett-UP reflectively, accountably and boldly into a world class Art Centre for South Africa, the continent and globally.

The Personal Assistant to the Curatorial Director will be expected to provide full administrative and secretarial support at a senior level to the Director to ensure the smooth management of her day to day affairs, and most effective use of her time. The Personal Assistant will handle sensitive and complex issues in a professional and objective manner and will be expected to take initiative as appropriate especially in the Director's absence.

RESPONSIBILITIES:

The incumbent will be required to render a comprehensive administrative and secretarial service which includes the following:
  • Managing the Director's electronic diary, assessing priority of appointments and reallocation as necessary;
  • Managing the Director's travel arrangements (including visas/accommodation);
  • Processing the Director's correspondence, ensuring that incoming correspondence is dealt with by the Director/or on behalf of the Director, or other staff as appropriate;
  • Maintaining the Director's office systems, including data management and filing;
  • Maintaining records of the Director's contacts;
  • Screening calls, enquiries and requests, and deal with them when appropriate;
  • Assisting the Director in researching and following up with action on matters which fall within the Director's responsibility - chasing responses, triggering follow-up action;
  • Producing documents, briefing papers, reports and presentations for the Director;
  • Organising meetings and ensure that the Director is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers;
  • Managing arrangements for reporting to Sub-Committee meetings, including production/distribution of agenda and papers;
  • Assisting/supporting the Director in arranging funding partner and other events;
  • Meeting and greeting visitors at all levels of seniority;
  • Any other duties as may reasonably be required by the Director.


MINIMUM REQUIREMENTS:
  • A tertiary qualification in Administration and Management;
  • 2 year's experience as Personal Assistant at management level;
  • Experience of electronic diary management;
  • Excellent IT skills, including a working knowledge of presentation software packages preferably Microsoft Office Word, Excel and PowerPoint.

  • Exceptional interpersonal and communication skills, to enable professional interaction with a wide range of contacts, both internal and external;
  • Ability to organise and plan own work;
  • Excellent attention to detail, with the ability to maintain a high level of accuracy;
  • A flexible, pro-active approach to work including the ability to prioritise and re-prioritise;
  • Ability to work on own initiative;
  • Ability to deal with sensitive information with discretion and to maintain confidentiality;
  • Social Media savvy and ability to conduct virtual data analysis

REMUNERATION:

This position has a total cost to company salary package in the range between R180 000.00 to R 260 000.00 per annum, subject to the successful candidate's experience.
