RESPONSIBILITIES:

The incumbent will be required to:
  • Provide comprehensive administrative support to the Director and COO of the Sport; Exercise Medicine and Lifestyle Institute (SEMLI);
  • Supervise lower level clerical staff in the General Manager's Office;
  • Liaise with international funders, organisations, industry, academic institutions and sport federations e.g. IOC, FIFA, IPC;
  • Provide general administrative and financial administration support for SEMLI;
  • Manage the logistical arrangements for events.


MINIMUM REQUIREMENTS:
  • Three-year tertiary Diploma in Office Administration or Equivalent qualifications
  • Five years' experience:
    • As a Senior Management Assistant;
    • In office administration with hands-on experience of handling general correspondence, reports, grant application documents, agreements;
    • In financial administration relating to procurement processes and monitoring of the budget;
    • In general administration with exposure to postgraduate research students administration.


REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):
  • Advanced proficiency in MS Word, Excel and PowerPoint, as well as the use of internet and e-mail;
  • Applicable professional communication and language skills, both written and verbal;
  • Excellent interpersonal skills, ability to interact with both national and international stakeholders, industry partners and service providers;
  • Ability to work under pressure without compromising detail and accuracy (attention to detail);
  • Ability to prioritise work independently and handle simultaneous assignments with success (excellent time management);
  • Very good planning and organising skills, including travel management;
  • Interpersonal relations; teamwork and collaboration skills;
  • Collaboration and problem-solving skills;
  • Ability to handle confidential information.


ADDED ADVANTAGES AND PREFERENCES:
  • B-degree in Office Administration;
  • Three years' general administration experience at a tertiary educational institution or sporting environment will be an advantage;
  • Two years financial administration experience using PeopleSoft or equivalent.
  • A Valid driver's licence


The all-inclusive remuneration package for this contract position will be commensurate with the incumbent's level of appointment, as determined by UP policy guidelines.
