The role

The University of Bristol IT Services Division is expanding its PMO function to provide support to the IT Programmes and Projects team for current and emerging portfolios, programmes and projects within IT Services.

We are looking for 2 experienced Programme Support Officers, one open ended and one fixed term contract, to join the team. The successful candidates will be responsible for performing day-to-day administration for the team. This includes providing full administrative support to the IT Programme & Projects team around the end-to-end governance process from submission of work to the delivery of portfolios, programmes and projects. Maintaining standards, supporting benefits delivery and budget management are also key tasks within the PMO.

Suitable applicants will be an experienced administrator and be familiar with a portfolio/programme/project office environment. A positive 'can do' attitude, flexible approach along with excellent organisation, attention to detail and writing skills are required.

What will you be doing?

You will work as a key member of the IT Programmes and Projects team to support the PMO, Programme and Project Managers by providing programme administration through maintenance of programme data repositories, servicing of programme and project boards and supporting risk and dependency management.

We are looking for someone who has the following knowledge and experience;
  • Excellent organisational skills to co-ordinate a wide variety of people and requirements
  • Significant experience of producing accurate, concise minutes of meetings with a high level of spelling, grammar and attention to detail
  • Experience of working in a programme and project environment or a similar multi-portfolio work environment
  • Experience of organising and reporting programme and project or similar information
  • Ability to prioritise and manage own workload in a busy environment, multi-tasking and working to tight deadlines
  • Working knowledge of tools used to support projects e.g. plans, issue and risk registers, project reports, budget and benefit tracker
  • Experience in Office365, particularly SharePoint, Outlook, Teams, Word, Excel, PowerPoint
  • Good literacy and numeracy skills, with excellent attention to detail
  • Excellent knowledge of office procedures
  • Ability to work in a busy and demanding environment, under pressure at times; to produce accurate work to deadlines, with attention to detail
  • Ability to use initiative to analyse and problem solve, reporting progress, results and problems to line manager
