Associate Director/Senior Manager Medical Affairs Operations (m/f/d) Germany

The Position

The Associate Director or Senior Manager Medical Affairs Operations ensures that the Medical Affairs department is operating smoothly at a high level of quality and efficiency. In close collaboration with the Country Medical Director and the Medical Leadership Team (MLT), she/he is in charge of the following areas within Medical Affairs Germany:

Strategic and operational leadership of the Medical Affairs Operations function, aiming to achieve continuously high standards of Medical Affairs activities, efficiency, process improvement, and continuous development of the department's employees, including optimising the medical field activities Operationalisation of the Medical Leadership Team (MLT), budget process and general process management within the Medical Affairs department. The role is a member of the MLT. Oversight of the conception, planning, and implementation of certain externally facing Medical Affairs activities across Therapeutic Areas (TAs) Oversight and implementation of the scientific grants process and the fellowship program Leadership of the Medical Planning process for the TAs (including cross-functional planning), the departmental goal planning process, and other project management activities Involvement in other strategic initiatives in close collaboration with the Country Medical Director and the MLT.

The Associate Director or Senior Manager Medical Affairs Operations reports to the Country Medical Director and is part of a small team that forms the Medical Affairs Operations function. The role requires close national and international collaboration with colleagues from various functions and departments. The role is office-based in Munich and requires some limited national and international travel. Depending on the seniority of the candidate the role may be set at the Associate Director or Senior Manager level. Line management may be part of the role, depending on the leadership experience of the candidate.

Specific responsibilities:

Specific responsibilities, in close collaboration with the Country Medical Director and other members of the Medical Affairs Operations function, include but are not limited to the following:

Oversees and leads initiatives to raise the standards within Medical Affairs, including training programs. Partners with Human Resources and Learning and Development in developing and coordinating training initiatives and development plans for Medical Affairs. Ensures consistency and efficiency of all relevant departmental operations and alignment with company procedures, policies and processes. Provides quality oversight of Medical Affairs activities including SOPs, training and audit programs and related recordings. Develops, refines, and maintains Standard Operating Procedures for Medical Affairs activities. Provides budget oversight in collaboration with the Country Medical Director and provides project management to the MLT Together with other members of the Medical Affairs Operations function plans and implements the Fellowship program (Gilead Frderprogramm), the educational event Campus Infektiologie, and the medical part of the grants program. May be involved in the Grants Review Committee. Leads the medical planning process, develops measurements of Medical Affairs effectiveness (office and field), and the departmental goal setting and tracking. Creates reports and presentations. Is involved in the digital transformation in Medical Affairs across TAs and in the development of a more patient-centric approach. Works on special projects in close collaboration with the Country Medical Director and the MLT, including affiliate-wide or international projects

Requirements

Essential:

  • Advanced academic, ideally scientific degree (e.g. MSc, BSc) or comparable work experience
  • In depth knowledge of the Medical Affairs function based on own experience in a pharmaceutical company. This will likely require at least 5 years of own Medical Affairs experience.
  • Excellent project management and project leadership skills, both at the strategic and operational level. Ability to lead and manage multiple complex projects simultaneously
  • Strategic mindset with a focus on innovation, collaboration, and excellence
  • Excellent written and verbal communication skills are required, along with the ability to understand, analyse and communicate complex information in a clear and concise way.
  • Strong interpersonal and relationship building skills
  • Excellent organizational skills including attention to detail and prioritization
  • Ability to develop effective solutions to complex problems
  • Excellent written and verbal communication skills in German and English
  • Works independently with minimal supervision
  • Experience working in a cross-functional matrix
  • Ability to embrace Gilead's Leadership Commitments and patient-centric values, including highest ethical and compliance standards. Knowledge and appreciation of applicable regulatory and legal requirements for Medical Affairs


Desirable:
  • Experience of working in an international environment is a plus
  • Experience working in related business functions is a plus
  • Line management experience is not required
