Job Summary

The Academic Registrar's Office Administrator provides a variety of administrative tasks in support of the Academic Registrar's Office. The post holder also provides administrative support across Academic Services more widely, including for the Programme Framework for the Future (ProFF) delivery team - a framework for academic programmes that will make it easier for the University to develop intellectually challenging degree programmes that remain relevant and exciting for next-generation students.

Organisation Chart

The Academic Registrar's Office is led by the Business Manager and sits within the Division of Innovation & Development - one of the six constituent parts of Academic Services. The Office provides executive support to the Academic Registrar (and a number of Academic Services Directors), finance and resource management, as well as policy development and coordination across the breadth of Academic Services activity. Whilst the role will sit within the Academic Registrar's Office, the post holder will also have a temporary dotted line to the Senior Project Lead in Academic Affairs as they provide administrative support to the ProFF.

Main Duties
  • Undertake diary management and meeting planning.
  • Support meetings by providing all administrative activities such as taking minutes and following up on actions, holding members of the team to account on delivering on these.
  • Provide administrative and project support, which will typically include gathering information and updates on projects, and liaising with others extensively to ensure progress.
  • Undertake analytical and research activities to inform and aid decision making.
  • Support the administration of managerial duties, including recording staff absences, preparing induction packs and organising on-boarding, overseeing the leavers' process, and coordinating health and safety requirements.
  • Maintain high profile working relationships with key stakeholders, fielding enquiries and ensuring that appropriate information is disseminated to stakeholders as appropriate.
  • Administer and oversee certain budgets, including processing payments, authorising expenditure, preparing and circulating returns and creating accurate financial statements as required.
  • Supports equality and values diversity, moderates own behaviour to avoid unfair discriminatory impact or bias on others.

Person Specification
  • Educated to A Level standard, with a minimum of grade C in Mathematics and English at GCSE or equivalent.
  • Experience in undertaking PA and administrative duties in a similar role to a senior member of staff.
  • Good IT skills with working knowledge of standard Microsoft Office software.
  • Good knowledge of all relevant administrative processes associated with the role.
  • Knowledge and understanding of policies, procedures and processes.
  • Good understanding of the activities of Academic Services.
  • Understands the importance of equality and diversity in the workplace
  • Ability to identify and respond to equality and diversity issues in line with relevant policies and procedures
