The Gilead Business Services center in Raleigh's Research Triangle region will be home to some of the company's critical shared service teams in North America, including Information Technology, Global Financial Solutions, HR Operations and Procurement Services Desk. These functions provide
the necessary support to ensure Gilead's business runs effectively and efficiently. The center will also be a catalyst for standardization of processes, digital transformation and technology optimization.

Gilead is seeking a Process Assurance Specialist (PAS) to join its Enterprise Project Management Office (EPMO). The primary role will be to ensure System Life Cycle (SLC) adherence across Gilead IT projects, with respect to quality, compliance and timeliness of deliverables. In addition to providing governance the successful candidate will also assist in providing and tracking feedback and help for project teams engaging in SLC activities, and as required assist in mapping Business Process mapping using their SLC and governance knowledge.

Responsibilities:

EPMO SLC Gate Reviews

The PAS will support the following responsibilities with respect to orchestrating, performing and reporting for Unity SLC project gate reviews:
  • Scheduling: Manage the review calendar and schedule in order to accommodate project gate reviews
  • Communication: Communicate cadence; duration; attendees and expected review contents and protocols to the review committee and affected projects in advance of the review meetings
  • Review and Feedback: Review project deliverables in accordance with the gate review guidelines for each gate, ensuring that all required materials are provided in advance of the gate review. Provide feedback and requests for clarification to the Project Manager with respect monitored deliverables and state of readiness before a gate review is undertaken
  • Gate Attendance: Attend gate review meetings. Host gate review meetings and ensure the outcomes and decisions are recorded. Determine final suitability of monitored deliverables; raise contingent action requests to address shortcomings where necessary; and render approval decisions on behalf of IT-EPMO
  • Reporting: Create and distribute gate review minutes
  • Follow-up: As IT EPMO functional representative assume responsibility for ensuring any contingent actions resulting from gate review are satisfactorily addressed. Provide oversight for tracking completion of contingent items by the project teams.
  • Manage Project Data: Monitor, track and update project data in the IT EPMO Project Management Tools

EPMO Project Governance
  • Validate Project Management data recorded in the IT EPMO Project Management tool on an ongoing basis and work with Project and Portfolio Managers to ensure data consistency.
  • Review Project Change Requests submitted through the IT EPMO Project Management tool for accuracy and valid justifications. Follow up on Change Request approvals, as needed.
  • Manage budget approvals and project closure verification in the IT EPMO Project Management tool
  • Monitor the PMO Mailbox and respond to enquiries or forward enquiries to the appropriate responders as appropriate

SLC Feedback and Tracking
  • Scheduling and hosting weekly Drop-in Clinics
  • As part of representative EPMO Team, provide guidance, feedback and help related to SLC during the weekly Drop-in Clinics
  • Monitor all sources of Feedback and record, track and maintain in the SLC Feedback Tracking Tools

Business Process Mapping
  • As required assist EPMO in envisioning and mapping Business and SLC related processes and improvements


Basic Qualifications
  • High School Degree and Nine Years Experience OR Associate's Degree and Seven Years Experience OR Bachelor's Degree and Five Years Experience OR Masters Degree and Three Years Experience


Preferred Qualifications
  • 2+ years of relevant experience
  • Systems life cycles and approaches (i.e. waterfall, agile, iterative development)
  • Project management approaches and standards (e.g. PMBOK, PMI)
  • Quality Assurance role in an IT Systems and/or software development capacity
  • Ability to work confidently with senior staff
  • Ability to apply appropriate assertive yet conciliatory balance when arbitrating decisions
  • Organizational and planning capability
  • Ability to manage effective meetings
  • Knowledge of and ability to apply and discern Good Documentation Practices (GDP)
  • Strong working knowledge of Microsoft Office
  • A good eye for detail
