RESPONSIBILITIES:

The successful candidate will be responsible for:
  • Provide a complete administrative and secretarial service to the Division of Biokinetics and Sport Science in the Department of Physiology;
  • Provide student and academic-related administration for all modules within the Division of Biokinetics and Sport Science;
  • Assisting with the handling of matters related to tests, examinations and the processing of examination results;
  • Liaise with external examiners and moderators for applicable modules;
  • Processing of correspondence (telephonically and written/ e-mails);
  • Capturing and maintaining of records in the department;
  • Assisting with organising of the annual events within the Division and Department;
  • Provide general administrative and financial administration support for the Division;
  • Handling of enquiries and other ad-hoc tasks in the department.


MINIMUM REQUIREMENTS:
  • An appropriate three-year tertiary diploma in office administration/secretarial or related field;
  • Three years' experience in:
    • processing of student marks;
    • administrative and secretarial duties in a tertiary environment.


REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):
  • Computer literacy with broad knowledge and experience in using MS Word, Excel, Gmail and the internet;
  • Strong communication and interpersonal skills, highly organised and a keen commitment to excellence;
  • The ability to liaise and communicate effectively on all levels within the organisation and with external stakeholders, including specialists in the private sector;
  • Ability to work independently and participate effectively within a team;
  • Meticulous and the ability to maintain high level of discretion and confidentiality;
  • Excellent verbal and written language and communication skills;
  • Ability to work under pressure and meet deadlines;
  • Strong persuasive and conflict handling skills;
  • Ability to think strategically and analytically with attention to detail;
  • Ability to cope with stringent deadlines and work pressure.


ADDED ADVANTAGES AND PREFERENCES:
  • Working Experience in an office of senior management;
  • Experience in using PeopleSoft;
  • Knowledge of / interest in the specific discipline;
  • Driver's licence.

The annual remuneration package will be commensurate with the incumbent's level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid scheme and contributes 50% of the applicable monthly premium.
