The Editorial Assistant (EA) provides administrative support to journal managers and publishers and is responsible for the smooth operation of the journals in their portfolio. Key activities include support of the in-house editorial team, compilation of reports, communicating information internally to colleagues and externally to authors, editors, and reviewers around the world, processing invoices and payments, administering contracts, and liaising with journal production team to ensure timely and correct publication of content. The EA is an integral member of the team and will contribute to the overall financial, operational, and general achievement of the department.

How you will make an impact:
  • Support in-house editorial office, oversee submission and post-acceptance processes of manuscripts
  • Regularly update editorial board and publisher reports, and general external communications using templates/form letters and information provided by the journal managers and publishers.
  • Ensure invoices are processed and payments are made to meet contract terms.
  • Assist editors, authors and reviewers with queries
  • Regularly check and update assigned journal websites and central systems and databases.
  • Solicit, design and bill cover images for the assigned portfolio of journals
  • Facilitate and support miscellaneous and journal-specific projects within the in-house editorial group in Hoboken

We are looking for people who:
  • Hold a Bachelor's degree or equivalent experience.
  • Are well organized and detail oriented with demonstrated effective time-management and follow-up skills.
  • Are computer literate and proficient in word processing, spreadsheets, presentation applications (MS PowerPoint) as well as image processing and design software.
  • Demonstrate professional verbal and written communication skills and excellent interpersonal skills.
