*Occupational Summary*
The Assistant Dean & Associate Director, provides leadership to the SOM Finance Office and the departments they serve within the School in terms of financial management and reporting practices, development of the operational budgets, evaluation and design of effective IT Tools, project management, departmental support during transitions, and development and implementation of strategic initiatives to meet the growing needs of the School. The position reports directly to the Associate Dean for Finance, assisting with the coordination and control of programs, projects and activities within the School. Serves as a primary liaison for the School Finance Office to the University Finance Offices, Provost Management Center and the Corporate Finance Office for Duke University Health System (DUHS).

*Work Performed*
Responsible for development of key relationships with the thirty-eight School of Medicine (SOM) Departments Chief Administrative Officers/Financial areas.
This includes oversight of annual operating budgets totaling $1.1B in non-sponsored expenses. This will require analysis of the budget objectives, evaluation of new requests for funding, recruitment and budget support with senior leaders. Work with departments and the University Budget Office to prepare for the budget cycle and continuously through budget submission. Review all departmental budgets and co-lead (with Associate Dean) individual meetings to review the budget with the departments; including attending final budget meetings with Senior Leadership of PDC (Private Diagnostic Clinic), DUHS, and SOM. In addition, working with the Associate Dean for Finance and other Assistant Deans, develop the annual projections (fall through year-end) of operating funds for the departments. Lead the transition to mission based accounting/reporting with consistency across the departments, centers and institutes.
Plan and oversee projects to ensure they are completed timely and meet objectives. Plan and designate project resources, monitor progress and keep stakeholders informed along the way. This will include a wide variety of projects within the School of Medicine such as clinical integration and Dean's Financial Advisory committee.

Provide direct support to departments, centers, and institutes during administrative and financial leadership transitions.
Manage the work performed of Assistant Dean Finance and provide ongoing support to the three Financial Management Analyst IIIs as it relates to performing the activities noted below.

* Administrative oversight of School of Medicine Financial Assessment and Management (FAM) process. This includes ensuring proper internal controls are in place and working with University Finance to ensure updates are completed as control environments change.
Management center approval for vacancy management requests. Annual distribution of the PDC 5b transfer to clinical departments and associated reporting. Serve as primary liaison with PDC Finance. Work with Duke University Associate Vice President of Disbursement Services on School of Medicine corporate card suspensions. Coordinate these with the Vice Dean of Finance. Monitor School of Medicine G&A process including exemptions and the calculation process.
Responsible for the creation of the DUHS/PDC Budget model, funding and quarterly reporting. Work with PDC leadership and DUHS leadership for data, reconciliation and approval. Serve as primary liaison with DUHS.
Serve as an expert resource within the office and to the departments served; on financial reporting performed via SAP Analysis for Office queries, budget tool, SAP R/3, workflow, SAP security, and business process flows associated with funding models and budget development. Participate in related system implementations to represent the School of Medicine.

Provides support to the Associate Dean for Finance as needed and required by the assignment of new responsibilities to the Finance Office. Serve as a backup for the Associate Dean for Finance in their absence. Work directly with the Vice Dean for Finance and Executive Dean for Administration as needed.

*Required Qualifications at this Level*
Education/Training:
Work requires knowledge of accounting and finance or business principles and practices generally obtained through a Bachelor's degree in Business Administration or Bachelor of Science degree in Accounting or Finance.
A Certified Public Accountant and or Master's degree in Business Administration preferred.

Experience:
At least seven years of business/administrative experience in general accounting principles, financial management; include Ad-Hoc financial analysis and reporting, budgeting and financial modeling. Supervisory experience is also preferred.
Skills:
Strong analytical skills with ability to analyze trends and financial information to perform complex analysis and financial modeling.
Demonstrates excellence in customer service to internal and external staff and department personnel.
Strong proficiency with Microsoft Tools and other integrated systems such as Advanced Excel and SAP respectively.
Excellent written, oral and conversational communication skills to effectively work with diverse groups.
Ability to analyze, evaluate multiple solutions and solve complex problems using judgement and well developed critical & analytical thinking skills
Attention to detail needed to operate accurately and effectively
Flexibility and ability to work on multiple initiatives simultaneously

*Degrees, Licensures and or Certifications *
Certified Public Accountant (CPA) and or Master's Degree in Business Administration (MBA) strongly preferred
