RESPONSIBILITIES:

The incumbent will be responsible to provide comprehensive and effective administrative support to the Deputy Director. To serve as the first point of contact for access to the Deputy Director through the managing of telephonic, email and walk-in enquiries.

The incumbent is responsible to:
  • Effectively manage and update the Deputy Directors' diary and schedule appointments where required;
  • Provide support for drafting documents, document updating and general administration;
  • Coordinate and plan Employee Relations and Wellness committee meetings;
  • Provide secretarial services, agenda and minute taking for specific meetings / committees as requested by the Deputy Director;
  • Provide logistical and administrative support for all Deputy Directors' meetings and committees including preparing the documents for the meetings and manage bookings of venues;
  • Manage all meeting documentation and ensure all follow ups are completed before the meeting;
  • Provide support to the Employee Relations colleagues within the department;
  • Manage office furniture, equipment and stationary supplies in accordance with relevant policies and procedures;
  • Administration of travel arrangement for the Deputy Director;
  • Effective and efficient management of the Deputy Directors' filing system (electronic and hardcopy);
  • Assist with the compilation of reports for the ER division;
  • Financial administration including obtaining quotations according to the procurement policy, placing requisitions, collate and verify invoices and statements.


MINIMUM REQUIREMENTS:
  • A three year Office Administration or Secretarial Diploma or relevant qualification plus two years' experience:
  • Office administration and secretarial support;
  • Financial administration support;
  • Grade 12 with 4 years' experience in a Senior manager's office


REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):
  • Computer skills MS Office Suite;
  • Strong interpersonal skills;
  • Good writing skills;
  • Strong organisational skills;
  • Knowledge of meeting procedures;
  • Ability to work under pressure;
  • Attention to detail;
  • Ability to maintain confidentiality.


ADDED ADVANTAGES AND PREFERENCES:
  • Degree in Administration or related field;
  • 2 years' experience in higher education or research.


The annual remuneration package will be commensurate with the incumbent's level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
