ADMINISTRATIVE OFFICER (PERMANENT PART-TIME POSITION FOR 25 HOURS PER WEEK)

BACKGROUND:

Internal Statistical Consultation Service (ISCS) within the Department of Statistics provides a statistical consultation service to the wider community of the University of Pretoria, including students and the faculty. This has ensured that the research projects are designed properly and the resulting data has been subjected to rigorous, appropriate, and relevant statistical analyses. The findings have proven statistically defensible, enhancing the quality, delivery, and efficiency of research and training within the various faculties and their affiliated research entities and hospitals.

The consultation at the ISCS are led by well-trained and professional statisticians who provide advise at any stage of the research design and data analysis, and we help our clients to understand to formulate their research problems in a more precise and abstract way. We support their research by applying, in the analysis, the appropriate statistical techniques to extract the most useful information from the data and support them in interpreting the results in context. For more advanced research problems, we offer and support novel and cutting-edge statistical methods that may be used to understand data better by making more accurate predictions and reliable test hypotheses.

We are currently seeking suitable candidates for the administrative officer role to support the consultants and members of the Department of Statistics.

RESPONSIBILITIES:

The incumbent will be responsible for the following portfolios which he/she should manage independently while performing quality work. These will include, but are not limited to, the following administrative and data management duties:
  • Assisting with incoming client requests and questions via phone and email;
  • Taking ownership of the online ticket portal and ensuring that all requests are correctly logged online with all the relevant information as well as that all required documentation is attached and updated correctly;
  • Proactively managing and following up on tickets still in the waiting room and transferring the projects to the statistical consultants as capacity allows;
  • Delivering weekly and monthly project reports, generated in statistical software R, to the team which documents the project details;
  • Regular maintenance of the ticket system and regularly updating the landing and thank you page(s);
  • Keeping abreast of new features and options which are periodically added to enhance the ISCS service provided and make the system even more user-friendly;
  • Keeping track of all publications where ISCS consultants have or have not been listed as co-authors as agreed.


MINIMUM REQUIREMENTS:
  • Grade 12 with at least four (4) years' experience;

OR
  • Relevant National Diploma in Secretarial or Office Administration with at least two (2) years' experience;
  • Relevant secretarial and administrative experience which includes proven knowledge and experience in the following:
    • General office administration and document management;
    • Database administration and maintenance;
    • Diary management;
    • Typing and drafting of concept reports, management information, proposals and general correspondence;
    • Meeting procedures, as well as related logistic arrangements.


REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):
  • Proficiency in MS Word (intermediate), Excel (intermediate) and PowerPoint, as well as in the use of internal and email;
  • Excellent interpersonal and communication skills;
  • Good writing skills;
  • Administrative and organising skills;
  • Excellent computer skills in Microsoft Office: Excel, Word, PowerPoint, as well as e-mails, internet, the population of websites and the implementation of IT-based administrative procedures;
  • Ability to work under pressure.


ADDED ADVANTAGES AND PREFERENCES:
  • Baccalaureus Technologiae: Office management and Technology or equivalent qualification;
  • Two years' experience within a tertiary or academic environment;
  • Knowledge and experience using statistical software like SPSS and R;
  • Experience with setting up full descriptive reports of a vast array of datasets.

The annual remuneration package will be commensurate with the incumbent's level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 31.25% of the applicable monthly premium.
