The [School of Education and Human Development](http://education.virginia.edu/) at the University of Virginia seeks an Executive Assistant. The Executive Assistant Is a critical member of the Dean's office administrative team. Reporting to the Chief of Staff, the incumbent provides support and project management for the Dean, and other members of the Dean's Office. They coordinate the Dean's daily schedule, ensuring timely attendance to meetings and events; schedule meetings for the Dean and other members of the leadership team (Associate Deans and Chief of Staff); make travel arrangements for the Dean, work closely with the Chief of Staff to ensure the Dean is prepared for all events; coordinate the school's weekly newsletter and other timely communications; and process reimbursements on the Dean's behalf. The Executive Assistant welcomes visitors to the Dean's Office and monitors office supplies, ordering as needed.
*Responsibilities Include: *

* Provides calendaring support for the Dean, working with the Chief of Staff to ensure the best use of the Dean's time, and ensures that the Dean adheres to appointments.
* Provides calendaring support for the members of the Dean's leadership team as needed.
* Research or information gathering for members of the Dean's leadership team.
* Keeps proper records of all meetings and assists in updating policies and procedures as needed.
* Manages the Dean's travel, ensuring the Dean has all necessary reservations and briefings.
* Assists with Dean's Office events as needed, including occasional evening and weekend special events.
* Drafts, formats, and files correspondence and other documents.
* Reconciles travel and expense card and processes all reimbursements for the Dean.
* Provides administrative support for the office, monitoring supplies and ordering as needed and managing guest parking passes.
* Manages advanced planning and distribution of various meeting agendas.
* Coordinates Dean's signature with offices across the School and University.
* Drafts EHD weekly updates - soliciting and formatting materials into an engaging and readable format.
* Prepares the Dean for all events - collects advanced briefings and prepared remarks with sufficient time for necessary revisions, if applicable.
* Revises and drafts remarks for the Dean on occasion.
* Welcomes guests to the Dean Office.
* Handles highly sensitive and confidential documents with integrity and discretion; proofreads materials for meetings, letters, and announcements.
* Develops and utilizes strategies for managing information across multiple systems and departments, including the Microsoft Office suite.
* Monitors office supplies, including water and coffee. Order supplies as needed
* Receives deliveries for the School of Education and Human Development and ensures timely distribution to appropriate audiences.
* Serves as the primary point of contact for parking reservations.
* Performs other duties as assigned in order to support the goals and objectives of the Dean's Office.
*Required Qualifications*
Education: Bachelor's Degree or related experience in lieu of a degree.
Experience: Four years of relevant experience or Master's degree with one year of relevant experience. Relevant experience may be considered in lieu of a degree.
*Preferred Qualifications*

* Demonstrated success working in a complex higher education environment.
* Outstanding verbal, written, and interpersonal communication skills
* Demonstrated competence in writing and editing documentation for a diverse audience.
* Experience setting priorities and adapting to priority shifts.

*Physical Demands*
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
