JOB PURPOSE:

The incumbent will coordinate information and marketing projects at institutional level to attract quality postgraduate students for UP; oversee and manage the publication process of all DESA postgraduate information products (print media, multimedia, virtual portals, website) and coordinate and host DESA marketing events for the postgraduate student market to grow the UP postgraduate footprint nationally and internationally.

RESPONSIBILITIES:

The successful candidate's responsibilities will include, but are not limited to:
  • Project planning for DESA postgraduate (PG) information products:
    • Provide inputs on an ongoing basis within and outside DESA with regard to organising, procuring and packaging of information products for the postgraduate market;
    • Promote ongoing communication flow within and outside DESA;
    • Identify information needs and supply possibilities;
    • Complete project planning in collaboration with deans, heads of Faculty Administration, marketers, professional services departments, and other role-players, as necessary;
    • Set up project teams and organise activities in consultation with role-players;
    • Keep complete records of all projects and their progress, and stay up to date;
    • Maintain a project planning and evaluation database;
    • Report on the progress with postgraduate information projects in respect of support departments, marketing services, faculties, etc.;
  • Gathering of information for DESA's postgraduate information products:
    • Utilise the latest technology and processes to source information for PG information products within DESA, faculties and professional services departments;
    • Monitor the update process according to set due dates and targets (project meetings, scheduling due dates, and ongoing contact with role-players);
    • Keep complete records of all updated information, and updating of master documents;
    • Report on information gathering to line manager;
  • Quality control management and responsibility:
    • Coordinate, perform quality control, and ensure sign off and production of all postgraduate information products (print media, multimedia, SMS, website) in collaboration with faculty/support department representatives, service providers (designers and printers) and DESA management;
    • Manage gathered information and draft publication documentation;
    • Develop publications in liaison with stakeholders, both in hardcopy and electronic format;
    • Ensure that there is collaboration to collect information at a University level;
    • Provide inputs for institutional packaging of information products;
  • Liaison and change management:
    • Act as marketing and change agent, on an ongoing basis, for information management during day-to-day functioning as coordinator of postgraduate information products;
    • Attend to marketing of DESA's services and products during liaison with all role players in the production process of postgraduate information products;
    • Liaise with external stakeholders to maximise marketing and information sharing opportunities;
    • Liaise with other DESA divisions (Undergraduate recruitment, JuniorTukkie office, Enrolment division, etc.) to compliment PG marketing opportunities;
    • Attend meetings and perform relevant ad hoc tasks as requested by the line manager;
  • Marketing and organising PG projects/events:
    • Explore and implement marketing initiatives through various interactions/platforms to build relations with the postgraduate student market, using the UP channels;
    • Organise and administer marketing campaigns to recruit top quality postgraduate students for UP, and keep the market informed of recruitment events (e.g. PG motivational and information events, marketing campaigns on social media, web, etc.);
    • Be the marketing agent and image-builder of DESA and the University during liaison with other universities, educational institutions, the private sector, and other external partners.


MINIMUM REQUIREMENTS:
  • A Bachelor degree, or a three year National Diploma in:
    • Marketing and Communication Science; or
    • Information Management; or
    • Publishing, Information Design, Publication Management, or Multimedia or
    • Other relevant study field;
  • A valid driver's licence.

WITH
  • A total of three years' experience with a Bachelor's degree, or a total of five years' experience with a National Diploma in the following:
    • Managing and developing information products;
    • Marketing and project management;
    • Experience in consultation and relationship building with internal and external stakeholders;
  • A valid driver's licence.


REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):

  • Adaptable and flexible.


ADDED ADVANTAGES AND PREFERENCES:
  • A qualification in Project Management;
  • Postgraduate qualification in Marketing and Communication Science, or Information Management, or BIS;
  • A relevant honours degree;
  • A total of two years' experience in editing, translation and proofreading;

The annual remuneration package will be commensurate with the incumbent's level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
