JOB TITLE: Senior Program Manager, AI & Special Projects

DEPARTMENTS: Special Projects, Frontiers of Science, and Advancement

REPORTS TO: Vice President, Scientific Programs

SUMMARY:

Research, design, develop, and execute new programming on the intersection of AI, Technology, and Society through conferences, workshops, publications, and public programs, including the establishment of a new fellowship for post-doctoral scientists. Work in partnership with departments across the Academy to, promote, fund, and implement the fellowship program. Identify opportunities to develop strategic alliances and partnerships with outside organizations, universities, funders, foundations, and individuals that further the Academy's mission and goals and serve the needs of our global community.

ESSENTIAL DUTIES:
  • Oversee and manage a broad and evolving subset of the AI, Technology, and Society programming including developing future-thinking ideas for conferences and the fellowship program, and contributing to the development of new proposals and projects.
  • Manage partnerships with select high-touch partner and sponsor organizations; execute the day-to-day relationship management activities
  • Manage conferences in his/her portfolio from conception through to completion. This includes scientific program development, securing of program sponsorships, review and selection of poster presentations, short-talks, and travel fellowship applications based on submitted materials, and production of post-conference dissemination materials.
  • Contribute to the ongoing programmatic and financial growth of the Academy's portfolio to ensure the delivery of current, diverse, accessible, and compelling content.
  • Collaborate with Senior and Executive Leadership to conceive and implement new, state-of-the-art, and supplementary programs and develop themes and events that deliver high and measurable impact, innovative meeting formats, locations, and dissemination channels, increased Academy brand awareness, and enhanced Membership growth and engagement opportunities.
  • Work closely with the Academy's Advancement team to research, write and submit content-driven grant proposals to relevant foundations, academic institutions, corporations, government agencies, and other potential supporters.

GENERAL RESPONSIBILITIES:
  • Identify and pursue strategies to deliver ongoing financial sustainability and year-over-year growth of his/her portfolio.
  • Identify and recruit key opinion leaders, collaborating with them to develop outcome-oriented and high-impact programming focused on key scientific questions and critical issues.
  • Collaborate across Academy departments to identify target event audiences in order to communicate content and promote symposia, to create potential collaboration on joint events and cross-promotional activities, and to foster the creation of enduring print and online program delivery and dissemination materials in the form of essays, papers, webinars, livestreams, podcasts, and Annals of the New York Academy of Sciences publications.
  • Work closely with Senior and Executive Leadership, and Advancement team to identify sponsorship opportunities and generate financial support for each event. Maintain relationships with our supporters and cultivate new donor relationships within the scientific community.
  • Work closely with Academy staff across multiple departments to ensure efficient coordination of event logistics, speaker travel and accommodation, marketing, website, dissemination, and publicity. Continually track progress and milestones.
  • Track event budgets, including of funding received and event expenses.
  • Assist in tracking Department goals and metrics for success.
  • Work with the Vice President to identify opportunities to serve as a steward for both the Department and the Academy as a whole, through external networking opportunities and public speaking platforms.
  • Track current trends in science, medicine, and technology in order to ensure Academy programs are timely, unique, and of high impact.
  • Other duties as assigned.


SUPERVISORY RESPONSIBILITY:

No direct supervisory duties.

REQUIREMENTS:
  • PhD in computer science, engineering, or social sciences, with 1-3 years postdoctoral research experience in an academic, industry, scientific publishing, or related setting.
  • Outstanding oral and written communication skills. Experience, ability, and comfort in dealing with complex scientific information beyond own area of expertise.
  • Program and administrative management experience required. United States federal or other successful grant writing and award management preferred.
  • Ability to work with multiple teams across departments and to manage multiple parallel projects with tight deadlines.


WORK SCHEDULE AND ENVIRONMENT:

The Academy operates during standard business hours Monday through Friday from 9am-5pm. Standard work week is 35 hours, unless otherwise noted.

This is a hybrid position, with in-office days scheduled by your Supervisor based on meetings, events and business needs. Employees must be based in New York.

This is a largely sedentary role.

COMPENSATION & BENEFITS:

Salary Range: $85,000 annually - $95,000 annually

This is Full-time, Exempt position.
