Job Description
Cold Spring Harbor Laboratory, a world-renowned non-profit scientific research facility on Long Island's North Shore, is searching for a professional individual to fill the role of Scientific Administrator. This position requires the candidate to exercise discretion and independent judgment in investigating and resolving issues on behalf of the Professors.

The Scientific Administrator will need to be a dynamic individual with impeccable organization and time management skills who will work diligently to support 3 scientific researchers. The Administrator will manage busy schedule, with significant calendar management, in-person and remote meetings. In addition, the administrator will assist in the preparation and submission of grant applications and progress reports, adding new materials to these applications as requested, along with reviewing the documents before submitting in a timely manner. Other responsibilities will include coordinating a seminar series, organizing speakers and travel reimbursements, reconciling corporate AMEX statements monthly, preparing regulatory compliance forms, preparing original correspondence, maintaining publication databases, and assisting with oversight of expenses and budgets. Also maintaining files, answering phones, handling mail and ordering supplies. They will regularly maintain updates of Bio-sketches, CV and grant information for their Professors and support the needs of their laboratory members.

In addition, the Administrator will assist in the preparation and submission of grant applications and progress reports. This person will be responsible for keeping track of due dates for applications and progress reports and for coordinating with the CSHL Office of Sponsored Programs and other departments to collect the required documents and submit them to the appropriate online portals. The Administrator will help the PI maintain updated copies of supporting documentation required for such applications, including updated copies of the NIH Biosketch and Other Support Documents.

EDUCATION: Associate degree required, Bachelor's degree preferred

EXPERIENCE/SKILLS: Familiarity with an academic or public sector environment preferred. 7-10 years' administrative experience at the executive level is preferred. Advanced knowledge of MS Office Suite, including Excel, PowerPoint, Word and Outlook. Strong organizational, time management, prioritization and problem-solving skills as well as the ability to multi-task and work effectively under pressure. Excellent interpersonal, oral and written communication skills. The ability to exercise independent judgment and discretion in dealing with highly sensitive and confidential information is required. Ability to work independently with minimal guidance.
