Duties and responsibilities:
Provide administrative support in the following areas: academic administration, office administration, client support and financial administration in the Department of Philosophy.
Assist the Head of the Department as well as postgraduate students with research administrative tasks.
Provide support in the areas of research and journal administration.
Manage enquiries and discretionary referral of enquiries to appropriate persons.
Manage all venue bookings, various control measures as well as assets.
Perform general administrative duties, including but not limited to: typing, filing, ordering and controlling stationery, arranging printing and making photocopies.
Report all maintenance queries within the department and manage follow-up procedures.
Prepare agendas, compile minutes, and distribute the decisions and resolutions of the meetings to all relevant parties.
Organise local and/or international travel arrangements efficiently.
Process financial documentation correctly and timeously (i.e. staff expenses, ad hoc claims, requisitions, and related financial documentation).
Two (2) to three (3) year’s relevant administrative work experience.
Knowledge and competence in administrative UFS systems (including PeopleSoft HR and Financials).
Proven experience in advanced research administration.
Basic competence in MS Word, Excel.
Written and oral communication proficiency in the official administrative language of the institution.
Knowledge and competence in Blackboard and Gradebook.
Ability to function independently and in a team.
Pay meticulous attention to detail.
Good interpersonal and communication skills and the ability to function with ease in the University’s richly diverse working environment.
Secretarial or relevant administration diploma.
Philosophy as a subject (or equivalent) at third year level and/or an honour’s degree in philosophy.
Proven experience in doing advanced research administration.
Excellent knowledge of all the administrative systems of the UFS (including PeopleSoft).
Knowledge and experience in the higher education environment.
