Job Purpose

Working as part of a team in the City-REDI Centre and under the Centre Manager, helping to support a number of day to day activities, which comprise of staff co-ordination, event organisation, supporting the Director, and supporting knowledge exchange activities.

Person Specification

Main duties

Ensure the smooth day-to-day running of the Centre:
  • To provide PA and administrative support to the Director of City-REDI.
  • To support the Administrative Director and Centre Manager on activities associated with City-REDI.
  • To act as a first point of contact for the Centre, dealing with internal and external queries in a professional and timely manner.
  • The post holder will respond to queries directly or delegate as appropriate.
  • To provide support in developing systems and procedures to ensure accurate records are maintained in relation to research projects.
  • To be responsible for providing administrative support to the Centre's academic colleagues and research fellows: organising travel (UK and overseas) to include conference registration, accommodation, transport, and raising appropriate documentation for payment; purchasing items requested by team members and processing expenses.
  • To be responsible for the organisation of visitors, coordinating appropriate documentation (ensuring compliance with UK Visa and Immigration requirements), organising accommodation and catering as needed.
  • To be responsible for servicing the City-REDI Advisory Board meetings and team meetings, including corresponding with attendees to organise dates, book venues and catering, prepare papers, take minutes and proactively following up subsequent actions.
  • To support the recruitment of new staff to the Centre and to be responsible for the preparation and delivery of inductions to new staff members.
  • To liaise with University support services including IT, Facilities, Marketing, Creative Media and the Business School Administration team.
  • Work as a member of the School's PST in pro-actively fostering effective, flexible, and efficient administrative interfaces across the College(s) and University offices to help provide co-ordinated services to students and academic staff.

Events & Workshops

To help to organise seminars, workshops, conferences and networking dinners:
  • To support the Administrative Director and the Centre Manager(s) with the preparation, delivery and follow-up activities for events e.g. booking catering and venues, liaising with attendees, preparing materials for the day, providing support during the event, help with post event evaluation.

Communications
  • Support the Centre Manager to maintain a web and social media presence that the Institute's diverse range of stakeholders can relate to.
  • Ensure brand consistency and undertake formatting of publications such as working papers and reports.


Required Knowledge, Skills, Qualifications, Experience

Essential
  • Educated to A Level or equivalent qualifications/experience.
  • Previous experience of office administration.
  • Highly motivated with a proactive approach and the ability to show initiative and prioritise multiple work tasks.
  • Excellent interpersonal skills and the ability to interact with staff at all levels, working effectively both individually and as a member of a team.
  • Flexible attitude towards the work activity of the team, which may vary according to workload.
  • Strong written and verbal communication skills, including the ability to communicate effectively with a range of stakeholders.
  • Working knowledge of computer software applications, including email, Word and Excel.
  • The ability to handle confidential and sensitive information appropriately, ensuring compliance with University standards.
