Aga Khan University (AKU) with teaching sites spread over 8 countries is planning large-scale developments at its campuses in Karachi, Pakistan as well as in Afghanistan and East Africa. The campuses and facility are maintained through Facilities Management Teams in regions which are responsible for the upkeep of campus. In addition to upkeep of facilities & Equipment, there is always pressing catchup needs of Major Renovations, upgrades and Replacements of outdated Equipment which comes under Deferred Maintenance Portfolio. Deferred Maintenance is required as regular maintenance was not performed when it should have been or was scheduled to be and which, therefore, is put off or delayed for a future period because of business continuity and other reasons Deferred Maintenance Portfolio caters two main components of institution; Facilities & Assets.

To meet these challenges we are looking for highly qualified and skilled individual for the position of Senior Project Manager. This is a multi-year project based position.

Responsibilities

The prime responsibilities includes providing leadership for identification, assessment, planning and execution of the Deferred Maintenance Portfolio. Key identifying DM Needs of facilities for all the campuses of AKU through, developing the scope of DM works for facilities by liasoning with facility managers, assessing/estimating the backlog for DM scope of works, prioritizing the DM needs, planning the approved DM works and executing the approved DM works in coordination with all stakeholders.

Project Manager will carry out systematic & comprehensive data validation exercise for facility/services renovation projects / backlog, Assets Deferral Backlog and future Asset Replacements on regular intervals to facilitate devising the appropriate strategies and funding allocations. This data validation exercise will incorporate the technology enhancement and best practices to deal with Deferred Maintenance.

Reporting to Director Construction & Project Management, you will further be responsible to following as well:
  • to assess the Facilities Condition Index (FCI) for various campuses and develop strategies and plans in in maintaining the CFI to acceptable levels;
  • to assess the DM needs and magnitude (estimates) of facilities in coordination with all stakeholders such as End Users, Facilities Management Teams etc
  • to devise the plan of design, procurement and construction for DM works in coordination with users, Design and Construction department
  • through support of Project Management Office (PMO) and Material Management Division (MMD), provide most accurate replacement costs of Assets as input to the University Planning and budget cycles
  • to provide leadership in resolution of issues related to DM and Assets Backlog: such facilitate reconciliation of Asset Registers & actual on ground inventory, impact of technology for facility renovation and Equipment/Assets, Business continuity considerations in DM execution
  • to update Deferred Maintenance Facilities Future Plan on regular intervals by revalidating & scheduling the already identified/Assessed DM Jobs and also by assessing/adding the new areas with DM Needs
  • provide direction and oversees all processes and systems for project planning, implementation and monitoring
  • monitor project schedules and ensure on-schedule project completion through effective controls and actions.


Requirements
  • Masters / Bachelor's in Engineering in Civil / Electrical / Mechanical or equivalent combination of education and experience;
  • candidates should have at least 8 to 10 years' experience of project management in construction or maintenance preferably in education, healthcare, research or public health sectors.
  • experience of project management, process improvement and budget management is essential; Certification in Project Management would be a definite asset;
  • should have extensive knowledge of infrastructures development, facilities condition assessment & maintenance, and also have practical knowledge of project management
  • must be equipped with the techniques of handling complaints, settling disputes, stakeholders and resolving grievances / conflicts and also negotiating with the consultants
  • excellent knowledge of all the planning & budgeting tools as well as Civil, Mechanical, Electrical & Control fields
  • supervisory skills and Team Leadership qualities to independently lead a multidiscipline team
  • expected to independently take decisions for operational activities, subject to policies and procedures
  • conducts ongoing risk analysis, looking ahead for contingent liabilities and opportunities and astutely identifying the risks involved and implement continuous improvement initiatives
  • ability to deliver effectively under pressure while meeting multiple deadlines
  • excellent interpersonal and leadership skills
  • ability to work with cross disciplinary and cross cultural teams both in a team setting and independently
