Job Details

Based at the High Temperature Research Centre, Coventry, the post holder will be required to work in an orderly and efficient manner to the standards set by legislation / HTRC and University policies and guidelines. Specifically, duties will involve administrative assistance to the Quality, Health & Safety Manager and related tasks as required. The post holder will be responsible for managing their day to day workload without supervision and within the framework of the HTRC management system, except for exceptional matters, where guidance may be sought.

The role is a part time role: 0.4 FTE over 2 days per week, likely to involve Fridays, with flexibility where agreed to suit both parties.

Main Duties
  • Reporting to the Quality, Health & Safety Manager, the post holder will provide H&S administrative support. The role will have specific and detailed duties as below but may also require flexibility to assist with other administrative activities.
  • Responsible for control of H&S documented information (ensure up-to-date version is available, reviews completed within allocated time frame etc.) including but not limited to:
  • - Risk assessments - both hard copy and electronic version and ensuring risk assessment index is up-to-date
  • - Material Safety Data Sheets - both hard copy and electronic versions and ensuring the MSDS index is up-to-date
  • - H&S procedures and processes - both hard copy and electronic versions
  • Liaising and escalating where required with other departments to track and progress actions arising from the following
  • - Risk assessments (including COSHH, PUWER etc)
  • - Adverse Events
  • - STOP&GO
  • - Inspections
  • Maintains existing documents and procedures from a variety of sources and some of a complex nature. Potentially, with a view to developing and improving documentation, based on experience and knowledge
  • Responsible for tracking, monitoring and organising QHSE related training within a predefined framework.
  • Responsible for tracking, monitoring and organising Occupational Health surveillance programme within a predefined framework.
  • Change Control Administrator: responsible for ensuring Change Requests are processed and monitoring that they are reviewed and approved in a timely manner which will include tracking and chasing items through the process where required.
  • Assist in collating Health & Safety information necessary for Key Performance Indicators and Performance Evaluation to be reported on a monthly basis as requested by the Quality, Health & Safety Manager
  • Diagnose / resolve problems and suggest solutions in own area, whilst having regard to their impact outside own area.
  • Considers quality improvements in own area as a response to a non-conformance, complaint or issue raised.
  • May coach other colleagues in relation to HTRC H&S Management System and processes.
  • Providing customer service in terms of communicating with internal customers relating to the H&S management system, which will include members of the Leadership Team, Senior Management Team and others from a range of different functions and different employers.
  • Responsible for managing short term workload without supervision, except for exceptional matters, where guidance may be sought.
  • Support team briefs/training and departmental meetings as required and may assist in deployment / presenting H&S management system sessions.
  • Assist in preparation of inputs for meetings
  • Active participation in both internal and external H&S audits / inspections.
  • Complies with HTRC and University of Birmingham policies, processes and guidance.

Person Specification
  • A minimum of 5 GCSEs or equivalent is essential, including passes in English Language and Mathematics
  • Education to A Level standard or equivalent
  • Vocational qualifications in Administration (for example NVQ) or IT related (for example City & Guilds)
  • Demonstrably significant experience of office administration
  • Demonstrably significant experience of using Microsoft Office including Excel, Word, PowerPoint, Visio etc
  • Demonstrable knowledge / experience of Health & Safety Management Systems is essential, preferably with experience of Manufacturing / Research
  • Demonstrable ability to prioritise own workload
  • Demonstrable ability to assess when a matter needs to be referred to a more appropriate colleague
  • Evidenced ability to use initiative and independence to react to changing priorities, deciding the response to complex or sensitive questions but within procedural guidelines
  • Demonstrably strong oral and written communication skills, ability to communicate effectively with staff at a variety of different levels and from different professional backgrounds
  • Demonstrable ability to ensure that administrative procedures are carried out efficiently and in a timely manner.
  • Demonstrable ability to operate efficiently in a busy multi-functional environment, prioritising workload to meet deadlines
  • Evidenced discretion, self-motivation and flexibility
  • Demonstrable ability to work as part of a team
  • Proven excellent attention to detail
