DEPARTMENTAL ADMINISTRATOR A

RESPONSIBILITIES:

The incumbent will be responsible for the effective and efficient co-ordination and administration of departmental academic activities including the administrative services to all prospective and registered students of the Department of Surgery with specific reference to:
  • Co-ordination and administration of undergraduate and postgraduate activities:
    • Processing and capturing of marks and correspondence with students;
    • Compiling and managing the interns' rotations, as well as the on-call and leave roster;
    • Compiling and managing the tutorial schedules and student rotation rosters to other hospitals;
    • Compiling and co-ordinating the annual examination programme, time tables, and clinical examinations;
    • Monitoring and reviewing the academic programmes, student rotations and examination rosters;
    • Preparing and collating course offering such as organising and overseeing printing requirements;
    • Venue booking and catering arrangements;
    • Attending to various committee procedures and the taking of minutes;
  • Liaising with a broad spectrum of stakeholders (prospective and registered students, interns, supervisors, external examiners, invigilators, tertiary hospitals and other relevant stakeholders);
  • Handling telephonic, electronic and written enquiries;
  • Performing ad hoc tasks within the Department as determined by the line manager; and Head of Department from time-to-time.


MINIMUM REQUIREMENTS:
  • A relevant business degree or diploma with three years' experience in student administration and office administration in a tertiary environment.
  • Three years' experience co-ordinating and organisation of student rotations or examinations in a tertiary environment.


REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):
  • Appropriate language and communication skills;
  • Computer literacy with a broad knowledge and experience of MS Office packages, (especially Excel), Gmail and all aspects of PeopleSoft including the application process;
  • Sound interpersonal and motivational skills;
  • A positive client service attitude;
  • Ability to work under pressure and meet deadlines;
  • Ability to work independently and to participate effectively within team;
  • Accuracy and the ability to maintain confidentiality;


ADDED ADVANTAGES AND PREFERENCES:
  • Functional knowledge in the management of electronic records and finance systems would be an added advantage;
  • More than five years' experience in Student Administration;
  • More than five years' experience co-ordinating and organisation of student rotations or examinations in a tertiary environment;
  • Two years' PeopleSoft Campus Solutions experience;
  • Knowledge of HPCSA requirements would be added advantage;
  • A driver's licence.

The annual remuneration package will be commensurate with the incumbent's level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
