JOB PURPOSE:

The purpose of the job is to facilitate the collection and accurate verification of all submitted academic publishing, in order to prepare the final report which is submitted annually to DHET in order to attract the relevant research subsidy for the University.

RESPONSIBILITIES:

The incumbent will be responsible for:
  • Annual cycle preparation:
    • Updating guidelines and facilitating information sessions for new captures and interested authors;
  • Co-ordinating and reviewing of research output submissions:
    • Accurately verifying all research output items which are submitted by faculty capturers, according to the guidelines as applicable to each output type;
  • Audit review:
    • Facilitating the external audit process for all approved journal article outputs;
  • Submission to DHET:
    • Ensuring data is tested and accurately uploaded to DHET in co-operation with the Database Co-ordinator;
  • Annual cycle wrap-up:
    • Ensuring all reports are finalised and feedback data updated.


MINIMUM REQUIREMENTS:
  • Relevant B-degree;
  • Five years' relevant experience in:
    • Quality control of data and data processes;
    • Effectively managing complex business projects;
    • Presenting training and providing user support;
    • Managing and reporting using complex spreadsheets;
    • Information and Database Management.


REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):
  • Knowledge of research administration and in particular knowledge of different types of research outputs;
  • Complex reasoning skills;
  • Skills to recognise data and process errors and correct them, within a tight time schedule;
  • Proven skills in MS Excel, Word and search engines;
  • Ability to keep to deadlines;
  • Well-developed sense of attention to detail and high accuracy level;
  • Ability to work well under on-going and constant pressure;
  • Responsive to communication and service orientated;
  • Strong organising and multi-tasking ability.


ADDED ADVANTAGES AND PREFERENCES:
  • MS Excel certification;
  • Accounting or auditing subjects passed during studies;
  • Project management certification;
  • Experience in research support or research administration in a university environment.

PLEASE NOTE: All shortlisted candidates may be required to participate in relevant skills assessments as part of the selection process.

The annual remuneration package will be commensurate with the incumbent's level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
