RESPONSIBILITIES:

This position will be based in the Office of the Vice-Principal: Institutional Planning. The Vice-Principal leads the University's strategic planning and resource allocation processes. In addition, he oversees Employment Relations, Facilities Management, Security Services and Information Technology Services. Within these functional areas, the Vice-Principal is responsible for the implementation of large institutional projects and processes, which include infrastructure developments and upgrades.

The incumbent will be required to:
  • Provide administrative and secretarial support to the Vice-Principal by performing a variety of administrative tasks, including but not limited to filing, minute taking, drafting letters, compiling presentations and reports, and managing phones and e-mails;
  • Manage office space and time using organisational skills;
  • Support the line manager and Department to ensure that the day-to-day office operations run smoothly and that deadlines are met.


MINIMUM REQUIREMENTS:
  • Secretarial/Office Administration or relevant diploma;
  • Five years' experience in secretarial and office administration on an executive/senior management level;
  • Experience in report-writing and the compilation of presentations;
  • A valid driver's licence.


REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):
  • Knowledge and insight in the operations of tertiary education institutions;
  • Knowledge of project and financial administration;
  • Appropriate language and communication skills;
  • Data capturing, diary management and filing skills;
  • Time management skills and the ability to function independently;
  • Good interpersonal skills and the ability to maintain confidentiality;
  • Problem solving skills and the ability to work under pressure;
  • Attention to detail and accuracy.


ADDED ADVANTAGES AND PREFERENCES:
  • Relevant degree in Business Administration or a related field;
  • Advanced certificates in the MS Office Suite;
  • Three (3) years' experience at a tertiary institution.

The annual remuneration package will be commensurate with the incumbent's level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
